Position Summary

The Provider Enrollment Associate/Professional is responsible for supporting and executing provider enrollment activities across Medicare, Medicaid, and commercial health plans. This position works closely with internal teams, providers, clients, payer representatives, and other stakeholders to facilitate timely and accurate provider enrollment, maintenance, and participation.

The role requires strong attention to detail, organization, follow-through, and the ability to manage multiple enrollment activities simultaneously. Responsibilities include preparing and submitting enrollment applications, maintaining provider and payer information, monitoring application status, researching enrollment requirements, resolving application issues, and communicating enrollment updates.

The level of responsibility will vary based on experience and demonstrated proficiency. A Provider Enrollment Associate generally performs enrollment activities with established guidance, processes, and oversight.

Essential Responsibilities

Provider Enrollment

  • Process initial and ongoing provider enrollment activities for Medicare, Medicaid, and commercial payers.
  • Prepare, complete, submit, and monitor provider enrollment applications and related documentation.
  • Process provider additions, terminations, reassignments, demographic updates, practice/location changes, tax identification changes, and other enrollment maintenance requests.
  • Coordinate enrollment activities associated with individual providers, group practices, organizations, and locations.
  • Maintain accurate provider enrollment information within internal systems and payer portals.
  • Review applications and supporting documentation for completeness and accuracy prior to submission.
  • Monitor payer processing timelines and follow up on outstanding applications and requests.
  • Maintain accurate documentation of enrollment activity, correspondence, submission dates, effective dates, and payer determinations.

Payer & Portal Management

  • Navigate payer enrollment portals and systems to complete and monitor enrollment activities.
  • Research payer-specific enrollment requirements, forms, processes, and submission procedures.
  • Communicate with payer representatives regarding application status, missing information, corrections, effective dates, and other enrollment matters.
  • Identify discrepancies between payer records and internal/provider information and coordinate appropriate corrections.
  • Support delegated and non-delegated payer enrollment activities, including roster submissions and provider loading, as applicable.
  • Maintain awareness of payer-specific requirements and process changes that may affect provider enrollment.

Provider & Client Support

  • Communicate professionally with providers, clients, internal teams, and payer representatives regarding enrollment requirements and status.
  • Clearly identify outstanding information or documentation needed to complete enrollment activities.
  • Provide timely status updates and communicate potential delays, risks, or barriers.
  • Respond to enrollment-related questions and assist with researching and resolving issues.
  • Maintain a service-oriented approach while balancing payer requirements, operational priorities, and established enrollment processes.

Tracking, Reporting & Follow-Up

  • Maintain accurate enrollment tracking records and status updates.
  • Monitor assigned work for upcoming deadlines, payer follow-up dates, effective dates, and other time-sensitive activities.
  • Conduct proactive follow-up with payers to support timely processing.
  • Identify aging, delayed, or high-risk enrollment items and escalate appropriately.
  • Support preparation of enrollment reports, status summaries, client updates, and internal tracking tools.
  • Ensure enrollment documentation is maintained in accordance with department and company procedures.

Quality & Compliance

  • Follow established Provider Enrollment Services procedures, payer requirements, and organizational policies.
  • Protect confidential provider, client, and organizational information.
  • Maintain compliance with applicable regulatory, payer, privacy, and security requirements.
  • Perform quality checks to minimize errors and prevent delays in enrollment processing.
  • Identify recurring enrollment issues and communicate opportunities for process improvement.

Associate-Level Responsibilities

A Provider Enrollment Associate is expected to:
  • Develop proficiency in provider enrollment processes, payer requirements, and enrollment systems.
  • Complete routine enrollment activities using established procedures and department guidance.
  • Accurately prepare and submit applications and supporting documentation.
  • Perform routine payer follow-up and status checks.
  • Maintain accurate enrollment records and documentation.

  • Manage complex enrollments involving multiple providers, locations, entities, payers, or enrollment requirements.
  • Research and resolve complex enrollment issues with limited supervision.
  • Analyze payer correspondence and application requirements to determine appropriate next steps.
  • Proactively identify potential enrollment risks and recommend appropriate interventions.
  • Coordinate complex enrollment activities across internal teams, clients, providers, and payers.
  • Assist with knowledge sharing, process development, and quality improvement initiatives.
  • Escalate complex or high-risk issues with clear documentation of the issue, impact, actions taken, and recommended next steps.

Required Qualifications

Provider Enrollment Associate

  • High school diploma or equivalent required.
  • 2+ years of provider enrollment experience preferred.
  • Previous healthcare, medical office, insurance, payer, credentialing, provider enrollment, or administrative experience preferred.
  • Strong organizational and time-management skills.
  • Strong attention to detail and accuracy.
  • Ability to manage multiple priorities and meet established deadlines.
  • Strong written and verbal communication skills.
  • Ability to learn payer enrollment systems, portals, and processes.
  • Proficiency with Microsoft Office and general computer applications.
  • Demonstrated experience with Medicare, Medicaid, and/or commercial payer enrollment.
  • Working knowledge of payer enrollment portals, provider data, NPI/NPPES, CAQH, and related enrollment systems.
  • Demonstrated ability to independently manage complex enrollment activities.
  • Strong research, problem-solving, and analytical skills.
  • Excellent written and verbal communication skills.
  • Ability to prioritize competing deadlines and manage multiple client/provider assignments.
  • Proficiency with Microsoft Office and applicable enrollment systems.

Physical & Work Environment

This position is primarily performed in a professional office work environment and requires prolonged periods of computer use, telephone communication, and electronic documentation. The employee must be able to effectively communicate through electronic, written, and verbal communication methods.
